New Mail Room & Handling Policies

Our mail policy has been evolving since the proliferation of Amazon and the age of free shipping on a range of parcel sizes from small goods up to furniture and bedding. Please understand our Member Service office is not a full time post office and deliveries and distribution are just a small fraction of the services and daily interactions we are responsible for performing. Please note the new policies which are intended to protect your privacy and provide for efficient distribution of parcels.

The Sandy Pines Administration strives to protect the privacy of its Members. After consultation with the United States Postal Service, the following changes will be made to the Sandy Pines Mail Policy effective immediately.

  • Only Sandy Pines Staff will be permitted to enter the mail room.
    • Thank you for your patience until we can retrieve your parcel(s)
  • Parcel Pickup Hours Strictly Enforced
    • Monday-Saturday – 8 am to 9 am and 2 pm to 4 pm through September 14, then Monday-Friday
    • Closed Sundays & Holidays
  • Please give member service staff your outgoing US POSTAL SERVICE (USPS) MAIL
  • Parcels that exceed 25 lbs and /or the size of a carry-on or that remain over seven days are subject to handling fees.
  • Parcels that exceed 50 lbs and/ or a size that cannot be carried safely by one person will not be accepted and will be returned to sender.
  • Non-Members and/or campers cannot receive U.S. Mail or package deliveries at Sandy Pines

    Your new solution is going to be completely cumbersome for the Admin staff and adds unnecessary wait times on the Sandy Pines package pickup membership.

    I have a few suggestions:

    1) Add what is called ‘parcel lockers’ to the USPS Post Office next to the Sandy Pines Guard Shack. You would find a key in your P.O. Box with the locker number on it. Your package would be in the box within the parcel locker. Therefore, ‘all’ USPS deliveries would be at the USPS Post Office ‘at Sandy Pines’. If your USPS delivery was too big for the parcel locker, your bigger package would be held at the post office. Or, you could have the USPS deliver at another address.

    2) For Amazon packages, add 2 or 3 Amazon lockers at Sandy Pines – Admin Bldg. This has to be approved at Amazon and the Sandy Pines HOA. When your Amazon package arrives at Sandy Pines, Amazon provides you with a 6 digit number to retrieve your package. You have ‘3’ days to retrieve your package, otherwise it is returned to Amazon.

    3) For UPS and/or FedEx packages, those packages go into the Admin mailroom as it has been, and you have a 2-4pm window to pick them up without bothering the Admin personnel at Sandy Pines.

    4) This allows for USPS letters in the PO boxes and USPS packages inserted into the USPS parcel lockers – both at the Sandy Pines Post Office building. And, UPS and FedEx and Amazon packages ‘do not’ have the restrictions set up as does USPS. This keeps Commercial packages and USPS packages separate and in different buildings. And it makes it easier on the members to retrieve both Amazon packages whenever the Admin is open, and the USPS packages for pickup 24 x 7.       Thanks Bob, those are great suggestions and are what we are considering for the long term solution to this issue. We’d love to get the mail room out of Member Service and into it’s own location. Hopefully this is something we can get to this off season and have it in place for next season.     So, are we suppose to give you our out going mail and not drop it at the mail box?

      You can still put your mail in the mailbox at the ATM & Mail building. This is referring to the mail basket that was sitting on the Member Service Counter. We can no longer leave that box sitting out in the open.
